New Hampshire Sheep and Wool Festival

May 12 & 13, 2012

Deerfield Fairgrounds, Deerfield, NH

 

Facts About the Festival:

     1.  The NHSWGA Sheep & Wool Festival is open to the public:

               *   Saturday, May 12.....9am until 5 pm.

               *   Sunday, May 13........9am until 4 pm.

               *    Security personnel will patrol at night.

     2.   The 2012 Festival is held at the Deerfield Fairgrounds, Deerfield, NH.

     3.   All non-food booths will focus on sheep, wool, or natural fiber, fiber animals/livestock,   

           unless  approved by the Festival Committee.

AGREEMENT

Application Process:

     All new vendor applications should be accompanied by photos or other promotional materials to aid the vendor committee in reaching a deciaion.

     Returning vendors (those who exhibited at the previous year's Festival) are offered an opportunity to return upon an annual evaluation.

     Paid applications submitted at the Festival will be given 1st priority.  Those submitted after May 13th, 2012 cannot be guaranteed booth space at the 2013 Festival.

     After determining available spaces, the vendor committee will assess all new and/or waiting list applications received by the January 15th deadline.  Decisions are based on originality, good fit for the festival, quality, and booth presentation.  Priority will then be given to NHSWGA members.

     Notification letters are mailed to returning vendors (who submit their paid applications at the Festival) by the end of November.  Paid applications received after the festival but before the January 15th deadline will be considered in order of their postmarks.  Booths that become available after that time will be filled from the waiting list as needed.

     It is highly recommended that each vendor have liability insurance. 

     New Hampshire Sheep and Wool Growers' Association, the NHSWGA Festival Committee and Deerfield Fairgrounds assume no responsibility for loss or damage/injury to any work, display, or person.

     Vendors' fees must be fully paid 90 days prior to the Festival to be admitted to the grounds.

Arrival and Set Up:

     Upon arrival, vendors should first check in ( at the gate) to receive your packet and assigned booth space #.

     Set-up is Friday, May 11,2012, from 12:00 noon until 8 pm, and Saturday, May 12, from 6:00 am until 8:45 am.  By 8:30 am, all cars and trucks will be parked in the Vendor Parking.  Vendors w/ storage trailers should check with the vendor co-chairs for permission to keep them close to their booths.  Booths are required to remain open from 9:00 am Saturday until 5:00 pm, and from 9:00 am Sunday until 4:00 pm.  A vendor who dismantles or leaves before the festival ends either day will not be accepted back the following year.

     Sunday, all vendors will be off the grounds by 7:00 pm.

Booths:

     Booth Sizes - Indoor booths are 10' x 10' and will be located in buildings close in proximity to each other.  Commercial Agricultural Buildings #1 and #2  have hard-top flooring.  The other agricultural building has hard packed dirt and sawdust floor.  Access to electricity may be available in all indoor spaces, but in not guaranteed.

     Along one side of the 3rd agricultural building is a length of 12' deep booth spots, 12' x12', with dirt/sawdust floor.

    Outside open-air booths are 10' x 10' .  For vendors with self-contained commercial set-up, there are spaces available up to 200 sq. ft. in an assigned location (approved by fire marshal).  Food vendors and equipment vendors may request electricity, which, however, may not be available in all locations.

     Booth spaces are assigned and will be marked by numbers.  Vendors are responsible for supplying tables, chairs, and whatever else is needed for their displays, including electrical cords if electricity is available and needed.  Tents will be allowed, but must be within your designated space.  All vendor items and displays must stay within their designated booth space.

    Vendors may not share space with another vendor unless each is listed on the application.

     Vendors are expected to be at their booths and open to the public at the designated times.

     Vendors are resposnsible for keeping their spaces clean and for cleaning them before leaving the festival on Sunday night.

Fiber Animals/other

     All fiber animals must stay in designated pens and be monitored by their owners.

     No dogs will be allowed on the grounds except those registered with the Festival Committee, or Service Dogs.

     No pets are allowed in the vendor buildings.

Cancellation Policy

     In the event that a vendor cancels or is otherwise unable to attend the festival, it will be the vendor's responsibility to notify the vendor committee in writing.  Cancellation 90 days or closer to festival date may result in forfeiture of all fees.  Failure to notify the vendor committee of cancellation jeopardizes participation in future events.

     The Festival Committee reserves the right to reject and vendor who does not treat everyone with courtesy, or who carries/sells items from their booth not listed on their application (such as selling food from in a fiber booth).

     The Festival Committee, whose decision will be final, shall decide disputes arising from any cause.
